Event Producer

Job Purpose

The Event Producer (EP) is responsible for generating, acquiring, and preparing materials and information for use in the production of live, hybrid, and virtual programs and events. The EP works closely with the executive production team and project production leads to build and maintain the production schedule, travel schedules, and content management, and to assure deliverables are being met according to the confirmed timeline. The EP supports the production process by maintaining project documentation for production elements, research, production, and client team communications, show books, agendas/ schedules, distribution of documents to team members, and logistics. The EP will work directly with the executive production team in maintaining budget, vendor contracts, and freelance management. This position will train and cross-train in a variety of positions

Job Duties

Collaborate with Executive Producer to develop production timeline Maintain timeline of deliverables and distribution of materials through email, Slack, CURRENT RMS, ShoFlo, Google Drive, Trello, and other forms of communication Acquire permits, insurance certificates, venue materials, and other project administrative documents

Responsible for portions of the production and overall quality of the program, i.e., graphic/ content development, coordination and management, run of show development and supervision

Additionally, events platform management and onsite deployment
Ensure adequate client relations and development including timely recognition of communications

Communicate with production team to identify areas of concern and troubleshoot early in the process

Support scheduling and projects of regular team members

Attend program site surveys and events as needed

Assist in managing onsite program event operations from start to finish including event labor and staffing, production team support, and general trouble-shooting

Assist production lead with program settlement and recon; maintain and submit accurate invoice tracking grid

Take lead role in producing smaller programs or elements of larger ones

Manage small budgets or portions of budgets as directed

Co-coordinate with the production event team and freelancers who provide event

operational support to the senior production staff and various project leads Approximately 50% travel required

Able to work flexible hours at times

Qualifications

Bachelor’s degree from an accredited university and/or 5 plus years relevant experience in an event management role

A CMP, CCEP, CEM, CMM, CSEP, DES designation is a plus

Excellent decision making and time management skills

Experience with purchasing and budget management as well as meeting management best practices

High attention to detail and budget management skills

Strong sense of self-awareness & self confidence, with a willingness/hunger to consistently
improve on weaknesses to better serve the values and goals of the company

Experience researching and implementing new software across a department to streamline and maximize efficiency and stay up to date with software development

OTHER IMPORTANT SKILLS: Great judgment and teamwork, verbal communication skills, adaptability, professionalism, and enthusiasm for the job.

Technical Skills

Experience with various project, people, financial, and inventory management software (i.e., project management software, CRMs, etc.)

Experience with virtual event platforms and registration management

Proficient in Google Workspace

Skilled at using multiple presentation platforms: PowerPoint, Keynote, Adobe platform, etc.

Knowledge of creative and production workflows

COMPUTER SKILLS: To perform this job successfully, an individual should have knowledge of internet software, email, PC and Apple operating systems, spreadsheet software, and Microsoft Word processing software.
